Overview

The Program Coordinator provides and coordinates support services to the Office of Member Relations. Interfaces extensively with ASHP staff, ASHP members, state affiliate leaders, and other volunteer leaders. Ensures that logistical, operational, and programmatic matters are handled with maximum efficiency and minimal supervision. May provide work direction to other administrative personnel, exercises judgment and initiative in routine matters, and facilitates accomplishment of projects and tasks.

This position will be based onsite in our Bethesda, MD office, and the employee in this role will be working in a hybrid environment, consistent with Association-wide ASHP policies applicable to HQ-based employees. At ASHP, we consider skills, experience, and organizational needs in our compensation approach. The base salary for this position is $58,000-$63,000 and ASHP offers a comprehensive benefits plan. What You'll Be Doing

    Follows defined instructions, policies, and standard operating procedures to perform their work assignments.
  1. Coordinates routine and special projects. Establishes and maintains appropriate process and files to initiate project steps throughout the year. Monitors deadlines, prioritizes tasks, assures steps are met in proper sequence, and maintains ongoing communication with staff regarding status and approvals.
  2. Coordinates the operational, logistical, and administrative processes for programs. Provides support to member committees and other stakeholder groups, in collaboration with staff. Manages and monitors program activity. Ensures timely updates to membership database, ASHP website, and other records. Provides excellent customer service including timely correspondence and follow-up on all inquiries and expected follow-up actions.
  3. Supports the coordination of all administrative aspects of delivering the results of the program/projects including webinars, podcasts, membership communications, financial payments, contract agreements, and other member services. Works directly with staff and other stakeholders to support all aspects of the planning, scheduling, management and successful delivery of projects.
  4. Schedules appointments and engagements on behalf of the administrator/official or department. Makes arrangements and coordinates details for meetings, conferences, and special events.
  5. Demonstrates excellent email management skills related to personal and group email accounts and organizational email management system, including reviewing, prioritizing and determining actions for incoming and outgoing electronic correspondence and researching and drafting responses.
  6. Performs other duties as assigned.


What You Bring to ASHP

  • High school diploma or GED; Business school, Associate's degree or equivalent is required. College degree preferred.
  • Requires two to four years of prior related work experience
  • Knowledge of the programs and organization where assigned.
  • Exercises independent judgment within understood policies, procedures.
  • Excellent time management skills - ability to organize and manage multiple projects/priorities.
  • Proven ability to manage multiple, concurrent projects within expected deadlines.
  • Excellent interpersonal and communication skills including proficient oral and written communication skills
  • Excellent project management/coordination work experience with use of spreadsheet and database software.
  • Demonstrated knowledge and competence in the use of communications and information management technologies.
  • MS Office and word processing proficiency, including advanced functions (example: merges for mass distribution, SharePoint and MS Office Suites).
