Job Description:Supervises and assists in the coordination of the overall operation of the Centralized Access Team. Reports to the Manager of the centralized access center. Provides leadership and assistance to staff while working in collaboration with the Centralized Access Manager, Operations Leaders and Providers. The Centralized Access Center Supervisor, part of the John Muir Health Foundation Practice Operations (FPO) management team, supports the Manager in overseeing scheduling, pre-registration, prior authorization, and referral coordination for various JMH FPO clinics. This role includes managing departmental performance, optimizing staff scheduling, coordinating patient access functions, and ensuring standard work for front-end operations. The Supervisor addresses scheduling workflows, referral coordination workflows, and access issues, collaborating with clinicians and leadership to improve access to care. They lead a team of either Patient Call Representatives, Referral Coordinators, or Primary Care Patient Access Coordinators, focusing on performance improvement and optimized workflows.

Education:

  • Associate Degree (or 4 years relevant experience) - Required

  • Bachelors Degree - Preferred

Experience:

  • 2 years Operational Management, Supervisor or Lead - Required

  • 2 years Medical Office - Required

  • 2 years customer service - Required

  • 2 years call center experience - Required

Skills:

  • Knowledge of organization policies, procedures, systems, and objectives.

  • Knowledge of fiscal management and human resource management techniques.

  • Knowledge of healthcare administration systems.

  • Knowledge of governmental regulations and compliance requirements.

  • Knowledge of computer systems and applications.

  • A high degree of organizational skills, ability to set priorities, manage multiple demands and the ability to complete tasks under strict timelines is required.

  • Maintains professional and personal integrity.

  • Maintains the strictest confidentiality.

  • Ensures compliance with privacy /confidentiality regulations and policies as it pertains records, data and all information handling.

  • Must be able to maintain effective working relationships with a wide variety of individuals.

  • Ability to deal diplomatically with all types of individuals under stressful situations.

  • Ability to oversee or guide other front office personnel as appropriate.

  • Basic knowledge of medical terminology, anatomy and physiology.

  • Ability to recognize and report deviations from acceptable health care practice.

  • Skills in developing comprehensive reports.

  • Ability to analyze and interpret complex data.

Work Shift:Exempt Days (Mon-Fri) (United States of America)

Pay Range:

$36.93 - $49.85 Hourly
Offer amounts are based on demonstrated/relevant experience and/or licensure.
Pay will be adjusted to the local market if hired outside of the Bay Area.
Note: Positions at JMH which are exempt (not eligible for overtime) under the level of Manager are listed as hourly for compensation purposes on this posting. The work shift will contain the word 'exempt' on it.
