Provide administrative support to the Residency & Clerkship Director and Clerkship Nurse Educator for the Department of Obstetrics and Gynecology, in the planning, development and implementation of said programs as they relate to the Clerkship Program. Provide support for the Residency program for the Department of Obstetrics and Gynecology. Provide efficient secretarial support to faculty members and the Residency Director/Generalists Director.

Examples of Duties
-
I. Director of Residency Program & Administrative Support 50% a. Handle telephone inquiries in a professional and confidential manner. b. When staff or faculty members are absent, notify the appropriate supervisors. c. Enter faculty and staff time off requests into the electronic calendar and disperse slips to the OB/GYN payroll division. d. Prepare call schedule monthly and see that it is posted to the faculty calendars as well as electronic call schedule system. e. Cancel or change clinics as requested. f. Maintain accurate and complete academic appointment calendars for Faculty, noting and coordinating meetings, conferences, academic assignments, clinical office hours, operative procedures, travel schedules, vacations, leaves, etc. g. Responsible for all travel arrangements for assigned faculty.
1. Initiate Travel requests.
2. Prepare travel estimates of expenses.
3. Make all travel arrangements and reserve lodging accommodations.
4. Initiate travel requests or absence notifications
5. Register faculty for conferences
6. Gather travel expenses and documentation for vouchering h. Prepare all faculty members' bills, e.g., In-House On-Call Assignments and/or clinics that are off-site. Submit payment for medical society dues, educational materials, etc.,
i. Maintain records concerning each payment that is made with the Procurement Card. On a monthly basis, reconcile the statement for purchases made that month.
j. Assist in ordering any academic supplies for the division.
k. Type and/or transcribe letters, memorandums, grant applications, abstracts, tables, graphs, slides, etc. for faculty members.
l. Keep curriculum vitae up to date for faculty members, to include but not limited to noting new publications, professional development.
m. Open and review incoming Faculty mail and ensure appropriateness of outgoing mail.
n. Assist in the compilation of the dossiers for faculty that are being considered for promotion.
o. Provide additional support in the absence of or in collaboration with the Administrative Aide, who supports the Assistant to the Chair and Chair.
p. Collect incoming faxes throughout the department and distribute appropriately.
q. Update the Procedure Manual for the position and make changes as needed.
II. Medical Student Clerkship, Residency & Academic Support 40%
a. Serves as a contact for residents/students/fellows concerning medical education program requirements and guidelines, financial assistance, work opportunities, absence, and vacation schedules.
b. Organizes medical education activities and prepares, develops, and maintains schedules.
c. Determines the eligibility of applicants for programs using established guidelines; refers eligible applicants to faculty for interview determination; establishes interview itineraries for selected candidates; and establishes an official record of application materials, ranking information, evaluations, etc.
d. Establishes a formal record for varied categories of medical education program participants, with responsibility for accuracy and completeness of record in accordance with accreditation standards.
e. Schedules preceptorships, subspecialties, and educational blocks based on participant interest and faculty/clinical availability, with responsibility for recommending alternatives.
f. Compiles, organizes, and prepares examination materials as directed by clinical faculty.
g. Coordinates and may assist in conducting portions of orientation for medical education program participant.;
h. Assists in the monitoring of expenditures for program participants.
III. All Other Duties as Assigned 10%

Qualifications

- High school diploma or equivalent.
- Any one or combination totaling four (4) years (48 months), from the categories below:
- College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate's Degree (60 semester hours) equals eighteen months (18 months)
- 90 semester hours equals two (2) years (24 months)
- Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
- Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems.
