Position Overview
The Jayhawk Athletic Performance Laboratory (JAPL), a tactical center within The Achievement & Assessment Institute (AAI) seeks a full-time Research Project Specialist to provide coordination and administrative support. The JAPL specializes in research on elite athletic performance, including evaluation, data science projects, and educational & communication work that supports our mission to understand human performance potential. The JAPL pursues its mission by working with sport coaches, teams and their support staff, as well as interacting with an inter-institutional alliance of collaborating partners. Specific activities include office management, meeting coordination, event supervision, JAPL operations support (scheduling, agendas, minutes, technology support, laboratory maintenance, budget management, procurement), research project management, and team collaboration (includes working with coaches, students, and researchers). We are looking for an individual with excellent organizational and communications skills, strong social skills, an ability and interest to learn sport-related technologies and software, and an interest in high-level sport performances. The applicant should also be able to actively troubleshoot problems that may arise, and quickly develop and implement solutions. Also, writing skills are critical since they will assist with reports, manuscripts, presentations, and grants. Coordination of communications, public relations, media releases, social media and tours will also be required. This position is contingent upon funding.

Job Description
50% - Administrative Support
  • Staff the front entry desk and greet visitors and clients.
  • Assist with JAPL project implementation, grants and administrative procedures.
  • Oversight of JAPL budgets and bills payable.
  • Coordinate small- and large-scale meetings, calls, workshops, trainings, and events with internal team members and external partners (schedule, arrange conference call/webinar set-up, draft agendas, take minutes, coordinate technology needs for in-person, virtual or hybrid setting, and process webinar/meeting recording for dissemination).
  • Coordinate travel support.
  • Act as a client liaison and represent the JAPL in a professional and positive manner.
  • Proofread materials for presentation, submission, and/or publication.
  • Help team members track deliverables and timelines.
  • Interface with public via email, phone, and webinars and assist in solving problems related to scheduling and technology of meeting virtually.
  • Create/edit accessible documents, process PDF remediation, and video subtitles for website accessibility.
  • Write reports and documentation related to grant projects, including progress reports and summary reports, in conjunction with/response to the funding agency.
  • Assist with communications activities, including social media and website updates. Coordinate revisions with design team.
  • Maintain calendar and scheduling for JAPL Director.
  • Assist with scheduling as needed for other project team members.
  • Provide administrative assistance as requested.
40% - Project & Laboratory Support
  • Oversight of laboratory equipment maintenance and software updates.
  • Oversight of sport science information clearinghouse.
  • Research project management.
  • Laboratory project scheduling.
  • Coordinate laboratory training sessions.
  • Contact point for the alliance of collaborating institutions and laboratories.
  • Interact with professional sport-related organizations.
  • Work with the JAPL Advisory Board.
  • Work with KU facilities for relevant JAPL maintenance.
  • Assist with data collections and analyses.
10% - Other duties
  • Special projects and other duties as assigned.

Position Requirements
This is a full-time, on-site position; some hybrid work may be considered for a highly qualified candidate.

Required Qualifications
  1. Bachelor's degree and 3 years of related experience.
  2. Interest in working with sport teams, athletes and coaches as addressed in cover letter.
  3. Excellent writing skills as demonstrated in cover letter and application materials.
  4. Strong organizational skills and experience working independently as demonstrated in application materials and work experience.
  5. One year experience in office management, project management, budget management, and procurement.
  6. One year experience with using a variety of office technologies (e.g., iPads, conference call hardware, Zoom, website content management software, online applications.

Preferred Qualifications
  1. Prior experience working in a higher education setting.
  2. Prior experience in the sport or fitness industries.
  3. Familiar with sport and exercise techniques.
  4. Familiar with sport training program design.
  5. Prior experience as an athlete or coach at the collegiate-level or higher.
