Job Description:

The Sales Administrator position is essential to facilitate the daily office activities and support Sales activities. The daily practices may cover the office admin, internal/external customer event and meeting arrangements, travel coordination, marketing event support and other tasks assigned by the Sales office. Also provide support to sales activities is a strong plus, including support for new account setup including legal documentation, customer operational inquiry and purchase order tracking and communication, regular order summary and other reports to support sales activities et al. Successful candidate should be able to handle multi tasks simultaneously and in an organized way, and have strong interpersonal skills including communication, problem solving, time management and negotiation, willing to work with diverse internal and external teams at multiple global locations. Relieves VP of Operations and Site Manager of administrative functions in order to increase the time they have available for executive level responsibilities. Handles details of a highly confidential and critical nature.

Essential Duties and Responsibilities:

  • Receive visitors, arrange appointments, schedule meetings, and answer telephone calls.
  • Coordinate meetings and control the calendars: make sure that meetings happen on time and make sure follow-up meetings are set up if necessary.
  • Participate in all staff meetings and summarize the meetings and action items.
  • Help the VP to manage the organization's tasks through the meeting calendar, and follow-up with managers and employees in the organization.
  • Identify urgency, get to know the organization and the various officials, understand the goals of the meetings and their importance.
  • Organize, take responsibility for processes, audit budgets and take responsibility for projects.
  • Make travel reservations; order supplies, equipment, and services; set up and maintain appropriate files, records, and schedules.
  • Hold company credit card, responsible for a timely credit card reconciliation process through working with Finance department.
  • Determine priority for own work as well as that of incoming mail and calls.

Working Conditions;

Assignment Co-Working Environment - Works under minimal direction, utilizing considerable organization skills. Prioritizes and handles multiple actions simultaneously with frequent interruptions and critical time constraints. Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors. A wide degree of creativity and latitude is expected. Requires thorough knowledge of company operations, policies, and procedures.

Accountability/Discretion - Assignments received in the form of results expected and employee has considerable freedom to decide work priorities and procedures to follow. Relies on experience and judgment to plan and accomplish goals.

Working Relationships - Coordinate activities between internal departments and external organizations.

Supervision - Reports to the VP of operations. May direct and lead the work of others.

Conditions - Normal office environment; must organize and manage highly confidential information.

Job Requirements

  • Native English speaking. 2nd language (Hebrew/Chinese/Japanese) is a plus.
  • College with diploma as minimum requirement and bachelor's degree in business administration, international trade or logistics is preferred.
  • Previous experience in Sales administration or a similar job preferred if experience includes managing Travels and budgets
  • Excellent interpersonal skills (communication/problem solving/time management and negotiation) are required.
  • Pleasant personality, team-play spirit, patient, detail-oriented and supportive.
  • Good computer & IT skills, and familiar with Microsoft Office and Windows system. Advantage if work experience includes working with SAP systems
  • Requires experience working with senior level executives, administrative experience of managing VP office
  • Experience in a similar environment, a high-tech company, or a large company is preferred
  • Excellent skills of all Office software including Excel and Power point
  • Must have considerable experience working with customers, vendors, visitors, and other dignitaries.
  • Excellent communication skills, organization skills, ability to work in a complex, data-rich, fast-paced and frequently changing environment.

Compensation Range:

$67,000- $83,500 *Tower Semiconductor encourages inquiries from talent at all levels where pay will be based on experience*
