Summary:

The Receptionist reports to the Health Information Services (HIS) Manager. Is responsible for all aspects of managing the release of medical information in compliance with State and Federal laws and regulations including the Health Insurance Portability and Accountability Act of 1996 (HIPAA) hospital and departmental policies and third party payor requirements. Ensures that all released information meets demands of the Rhode Island Health Care Confidentiality Act RI AIDS Federal Statutes for Drug and Alcohol Abuse and the Joint Commission (TJC) recommendations.

Responsibilities:

Receives and screen visitors and telephone calls. Routes calls to the appropriate person. Provides information according to established practices and knowledge of services.

Responsible for receiving sorting and distributing mail.

Assesses the authenticity and nature of release ensures that all authorizations meet HIPAA requirements. Adheres to The Miriam Hospital policies State Federal HIPAA regulations regarding release of confidential information.

Responsible for entering all patient requests in Lifechart and assigns to the appropriate staff member for completion.

Explains release of information policies and procedures to patients Provides assistance to patients about the nature of the information to be released to others.

Processes all monies collected in accordance with cash handling procedures. Prepares and reconciles cash deposits delivers to cashier daily.

Receives notification of deaths retrieves medical record and facilitates the transfer of all required forms follows up with physician regarding incomplete forms. Acts as a liaison between nursing physicians pathology next of kin medical examiner and funeral homes for release of a body from the hospital. Contacts Pathologist on call for impending postmortems on weekends and holidays. Is the first point of contact for providers having issues with using DOH * Rivers program. Monitors all deaths to insure remains are picked up within the appropriate time frames.

Maintains expiration log by entering required data.

Coordinates funeral arrangements for deceased patients with no known next of kin with the Department of Social Work.

Works directly with the medical examiner for release of body and medical record of accepted cases. Facilitates the release of body to funeral director via security or appropriate pathology/ laboratory personnel.

Maintains and reconciles department statistics as required by Department of Health. Ensures the integrity of the data reported.

Reviews audit report to assess accuracy of the data input and the overall integrity of the database.

Performs other related duties as assigned.

Other information:

BASIC KNOWLEDGE:

High School Diploma or equivalent required. Proficiency in Microsoft Office applications including Access Excel and Word.

EXPERIENCE:

Two years in an office environment with electronic medical records experience preferred. Knowledge of medical terminology preferred. Customer Service skills required. Must be detail oriented.

WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:

Typical office environment with no exposure to adverse environmental conditions.

INDEPENDENT ACTION:

Under general supervision performs alone on regular duties referring questionable cases to supervisor.

SUPERVISORY RESPONSIBILITY:

None.
